The administration

The operating instructions for the merchant area. Every menu entry, every column, every decision – in the order you meet them.

Where everything sits

The overview

The dashboard

Eight figures in a row, two boxes below them. Every figure carries a subline that puts it in context.

Active lists
out of how many in total
Upcoming occasions
within the next 30 days
Gifted wishes
out of how many wished for
Gift revenue
gross, in total
Active reservations
and how many of them expire soon
Reserved wishes
and how many are still available
Masked deliveries
address protected
Pending thank-yous
waiting for a thank-you

Upcoming occasions lists the next dates with date, title, owner, number of wishes, a progress bar "x of y fulfilled" and the days remaining. Needs attention names exactly the three cases that cost you something: lists in moderation, lists without a delivery address, and reservations expiring within the next 48 hours.

The lists

All lists

The table across all gift registries in the shop, with search and filter.

Columns
Title, display name, owner, wishes, reserved, purchased, moderation, visibility, date, created
Moderation
As a mark on the row: unreviewed, reported, reviewed, blocked or changed
Visibility
Via link or private

The list file with five tabs

A click on a row opens the file. The tabs are called overview, wishes, orders, reservations and moderation.

Head of the overview
State of the list and three figures: wishes, orders, reservations
Master data
Title, display name ("Public as …"), place, date, access, created, description
Owner card
Name with a jump into the customer account, customer number, e-mail
Delivery card
One of three states: goes to the owner, address masked, goes to the giver, or delivery to the owner chosen, address missing – along with the address

The third delivery state is the one that costs money: the list accepts gifts, but the address they should go to is missing. That is why the dashboard counts these lists separately.

The wishes tab

One wish per row with its state mark, kind and progress. A click unfolds the details.

Kind of wish
Shop product, own wish or external wish
Progress
"x bought", "y reserved", "z open" – each out of the quantity wished for
Highlight
Especially wished for, if the owner marked the wish
The link on the wish
View in the shop, open the product in the admin, an external link naming the retailer – or no link stored
Unfolded
Purchases with order number, quantity and giver (or "guest"), reservations with expiry date or "no deadline"

What is waiting for a decision

Reservations

All reservations across all lists, in one table.

Columns
List, wish, giver, quantity, reserved on, expires
No deadline
If no deadline is set it says "no deadline" – the reservation then does not expire on its own
Giver
Always a logged-in customer. Without an account no reservation is possible

Orders

Every order line that comes from a gift registry, with the state of its purchase detection.

Columns
List, wish, giver, order, quantity, state, ordered on, deadline
States
Pending, completed, expired, cancelled
Deadline
By when the order has to reach a purchase state before the wish becomes free again
Order number
Linked into Shopware's order administration
Guest order
Then the giver column stays empty

This table is the answer to "why is the wish not marked as given yet?" – it shows which state the order is in and how much time it still has.

Moderation

The review list. Lists a visitor has reported end up here, and lists the word filter has flagged.

States
Unreviewed, reported, reviewed, blocked, changed
Two origins
Visitor report or automatic review note from the word filter
Three decisions
Mark as reviewed, block with a reason, or release a blocked list again
The reason
Is shown to the owner – it is not an internal note
History
Every decision is logged, newest first

Besides display name, occasion, description and the number of wishes, the review view also shows how many of them carry an external link – and for every report the technical context including the account type of the reporter. Whoever reports as a registered customer is identifiable; a guest account is not.

Communication

Thank-yous

Every bought gift creates a channel for a word of thanks. The overview shows which are still open.

Columns
List, gift, giver, order, date, status
Status
Thanked or open
In detail
The giver's message and the thank-you note sent, or "Sent without a message."
Deliberately data-sparing
The giver's name only appears if they did not want to stay anonymous. The e-mail address stays hidden in every case

Email blacklist

Addresses that no longer receive any mail from this extension.

Origin
Above all unsubscribes from the mails themselves; addresses can be entered by hand as well
Columns
Email address, added on
Removing
Lifts the block, the address receives mail again afterwards
Upper and lower case
Makes no difference

Configuration

Themes

A theme gives a list its accent colour and symbol. The customer picks it while creating their list.

Fields
Name (translatable), colour as a colour field, symbol, position, active
Symbols
Twenty-four to choose from, from heart and gift through calendar and moving box to trophy
Position
Decides the order during list creation; a smaller number stands further up
Deleting
Not possible while gift registries use the theme

Gift options

Extras the giver books on top at checkout – wrapping paper, a greeting card, a name tag. For a surcharge if you want.

Kind of surcharge
Absolute as a fixed amount per currency, with its own tax rate, or as a percentage of the gift's unit price
Calculation
Once per line or times quantity
Occasion
Empty means for all. Otherwise only for gifts of the chosen occasions, for instance only for weddings
Availability rule
A rule from the Rule Builder; if it is set, the option is only offered when it applies
Active
Only active options are offered in the cart

Word filter

Terms that send a list to review before it goes public.

Effect
The word filter blocks nothing automatically. A hit creates a report in moderation
Upkeep
Add, edit and delete terms; duplicates are rejected
On deleting
Only the term disappears – reports already created remain
Out of the box
Fifty terms are shipped with the plugin

Common questions

How is the gift registries area in the administration structured?

It sits under Customers, Gift lists and has a submenu of its own with thirteen entries in five groups: overview, gift registries, communication, configuration and system.

What does the dashboard show?

Eight figures in a row: active lists, upcoming occasions, gifted wishes, gift revenue, active reservations, reserved wishes, masked deliveries and pending thank-yous. Below them the upcoming occasions with their progress, and a box showing what currently needs attention.

Which tabs does a gift registry have in the administration?

Five: overview, wishes, orders, reservations and moderation. The overview carries the master data of the list, the owner with a jump into the customer account, and the delivery with the note whether the address is masked.

Do I see in the administration who gave what?

Yes, as far as the giver is known. With guest orders the field stays empty, and whoever wanted to stay anonymous at checkout does not appear by name here either. A giver's e-mail address is shown nowhere.

What exactly does the word filter do?

It checks customer-written texts against stored terms. A hit blocks nothing; it puts the list into moderation as an automatic review note. If you delete a term, reports already created remain.

How do I block a list?

In moderation, through block. You enter a reason, which is shown to the owner. Every decision lands in the moderation history, newest first. A block can be lifted again at any time.

Where do the entries in the email blacklist come from?

Above all from the recipients themselves: whoever unsubscribes from one of the plugin's mails ends up there. On top of that you can block an address by hand, for instance at a customer's request. An entry can be removed again, after which the address receives mail once more.

Can I offer gift wrapping for a surcharge?

Yes, through the gift options. Per option you decide whether the surcharge is a fixed amount or a percentage, whether it is charged once per line or times quantity, which occasions it applies to, and whether a Rule Builder rule restricts it.
